How to use LedgerSnap

A short, friendly walk-through — no accounting jargon, promise. Take it one step at a time.

The short version: Snap your receipts → tap to sort them → your Profit & Loss fills in by itself. That's it.

Your Home screen

This is your dashboard. It shows money in and money out for the month, and any receipts still waiting to be sorted.

Check the two big cards
Money in is what you've earned this month. Money out is what you've spent.

Tap the yellow ‘waiting to be sorted’ card
It only appears when there are receipts to sort. One tap and you're there.

Use the big Snap button any time
Whenever you get a receipt, snap it straight away — future you will thank you.

The tabs along the bottom

Five simple tabs: Home, Expenses, Sales, P & L and Trips.

Expenses
Every expense you've already sorted into an account code, newest first. Tap the pencil to amend anything — supplier, date, amount, GST or category.

Sales
All your sales invoices live here — drafts, awaiting payment, part paid and paid. When sales money lands in your bank and you import the CSV, LedgerSnap matches it to the right invoice, or asks you if it isn't sure. Once it's allocated it flows through to your P & L.

P & L
Your Profit & Loss: money in, money out, what's left, plus GST totals for BAS.

Snapping and sorting live on Home
The big Snap button is on your Home screen, with the ‘waiting to be sorted’ card just above it.

Snap a receipt

Take a photo or upload a PDF. LedgerSnap reads it and fills in the details for you.

Tap the big ‘Snap a receipt’ button on your Home screen
Choose Take a photo or Upload a file. Both work — pick whatever's easiest.

Wait a few seconds
We pull out the supplier, date, total, and GST if it's on the receipt.

Give it a quick look
If anything looks off, tap the field and fix it. Then tap Save.

It goes into ‘To sort’
Don't worry — you don't have to sort it right now. You can sort a whole pile at once later.

Sort your receipts

Sorting just means telling us what kind of expense it was — like Fuel or Materials. We suggest one; you confirm.

Tap the ‘waiting to be sorted’ card on your Home screen
You'll see every receipt that's waiting.

Approve the suggested category
If it looks right, tap the big tick. Done.

Or pick a different one
Tap the category to change it. Can't see the right one? Tap + Add category… at the bottom of the list.

Aim for zero in ‘To sort’
Doing this once a week is plenty.

Type in an expense yourself

No receipt handy? Tap Snap, then the ‘Enter manually’ tab and fill in the details.

Add the basics
Supplier name, date, description and amount. Add a due date if it's a bill you still have to pay.

Pick a category
For example, an electricity bill goes under Utilities. Can't see the right one? Add your own.

Tell us about GST
Tick GST if the supplier charged it — we'll work out the amount for your BAS.

Mark it paid or unpaid
Unpaid bills stay visible so you know what's still owing.

Import from your bank

Download a CSV from your business bank account and let LedgerSnap sort the lot.

Tap Import
Upload the CSV. We work out which columns are the date, description and amount.

We skip anything already in the app
Duplicates are spotted automatically, so you can re-import without making a mess.

Check the suggested categories
Every row gets a suggestion. Change any you don't agree with, then import.

Money coming in gets matched to invoices
If a deposit matches an unpaid invoice, we offer to mark it paid for you.

Send an invoice

Bill your customers straight from LedgerSnap. When they pay, it counts as income automatically.

Set up your branding first (once only)
Tap Bill, then the gear icon. Add your logo, BSB and account number, and your usual payment terms.

Create a new invoice
Tap New invoice. Add your customer, the items you're billing for, and hit Save.

Send it
Download the PDF, or email it straight from LedgerSnap.

Mark it as paid
When the money lands, mark it Paid and pick the date from the calendar — that automatically adds it to your income.

Need to change something?
Draft and unpaid invoices can be edited any time — open the invoice and tap Edit.

Save your customers

Stop retyping the same business name and email on every invoice.

Tap Bill, then Contacts
Add a customer once — name, email, address.

Pick them next time
On a new invoice, choose the contact and everything fills itself in.

New names are remembered
Invoice someone new and we'll save them to Contacts for you.

Chasing part payments

Customers sometimes pay in bits. LedgerSnap keeps track of what's still owing.

Record each payment
Open the invoice and enter the amount received. The balance updates and the invoice shows as part paid.

Bank imports do it too
A deposit from your bank CSV is matched against what's still owing.

Check the ‘Needs a nudge’ panel
At the top of your invoice list you'll see anything overdue or part paid, and the total owed.

Send a friendly reminder
One tap emails the customer showing what's been paid and what's left.

EOFY — a folder for each financial year

Doing last year's tax return? Keep each year in its own folder and upload the whole year at once.

Open the menu on the home screen, tap EOFY
Then Add a financial year — pop in the starting year and we'll name the folder for you, like "2025 - 2026 Tax Return" (1 July to 30 June).

Download the EOFY template
The headings are DATE, DESCRIPTION, CREDIT, DEBIT, ACCOUNT CODE. Credit is money in, Debit is money out.

Upload the year's CSV
Every line is filed under the account code you gave it. You can write just "453" or "453 Office Expenses".

Missing account codes are created for you
If a code isn't in your Chart of Accounts yet, LedgerSnap adds it — income codes as revenue, spending codes as expenses — so nothing falls through the cracks.

Straight onto your P & L
Tick the lines you want, tap File, and the folder shows that year's income and expense totals.

See your profit

Your Profit & Loss updates itself as you sort receipts and get paid.

Tap Money in the bottom menu
You'll see Money in, Money out by category, and What's left (your profit).

Change the time period
This month, this quarter, this financial year (July–June), or pick your own dates.

Download it
PDF, Excel or CSV — great for sending to your accountant or the bank.

Check the GST summary
If you're GST-registered, we show GST collected and GST paid to help with BAS.

Vehicle logbook

Keep an ATO-friendly logbook of business trips right in the app.

Tap Trips in the bottom menu
Then Add trip.

Fill in the basics
Date, start, end, kilometres, and whether it was business or personal.

Watch your business kms add up
Your yearly total is right at the top. Export as PDF or CSV any time.

Let your bookkeeper help

Invite someone you trust to work in your books with you.

Open ‘People who help with my books’ on your dashboard
Enter their email and tap Create invitation.

Send them the private link
They sign in with their own email — there's no extra charge for them.

They switch to your business
A ‘Working on’ picker appears at the top so they can move between their own books and yours.

Remove access any time
Tap the cross beside their name. They keep no access to your billing details.

Your Chart of Accounts

The list of income and expense accounts your business uses — codes, types and GST rates, like Xero.

Open ‘Chart of Accounts’ on your dashboard
Pick the business type that sounds most like you and tap ‘Add these accounts’.

Make it yours
Add, rename or archive any account. Each one has a code, a name, a type and a tax rate (GST on Income, GST on Expenses, GST Free or BAS Excluded).

Or upload your own list
Have a list from your accountant or another program? Save it as a CSV with Code, Name, Type and Tax Rate columns and tap ‘Upload CSV’. There's a template to download, and accounts you already have are left alone. You can also download your current list any time.

Use it everywhere
Your accounts appear in the sorting list when you snap a receipt, import a bank file or edit a transaction, and their names show on your profit report.
